After that, a daily 5-minute routine of four prompts keeps it clean. The One-Time Setup to Tidy Your Inbox

1. One inbox for everything

Pick one inbox and forward the others into it. Mail scattered across three accounts is how things get missed. Label forwarded mail so you can still see its source.

2. Labels built on action, not topic

Label systems tend to break down when they sort by subject. Sort by what the email needs from you instead. The set I use:

Ask Claude to find the biggest senders of mail you never open, show you the list, then move them to the bin. Work oldest first. Use the bin rather than permanent delete: Gmail keeps binned mail for 30 days, so a mistake is recoverable. Thousands of threads can go in one session, but don’t expect to hit zero on day one.

Run these in order, adjusting the label names to match yours.

Find what needs you.

Check my unread Gmail from the last 24 hours. List anything from a real person that needs a reply or a decision, and label those threads “1 Action”.

Sort the rest.

Sort the remaining new mail into my existing labels. If you’re unsure where something goes, don’t move it. List it for me instead.

Spot the noise.

List senders of newsletters and promotions I haven’t opened in 30 days. Don’t bin anything yet. Just show me the senders.

Decide, then summarise. Tell Claude which senders to bin, then:

Summarise my “1 Action” label in three lines: who, what they need, and by when.

That last list is your to-do list for the day. Everything else is sorted or gone.

What Never to Hand to AI

This part matters more than the prompts. AI is good at sorting. The judgement stays with you.

  • Security codes, password resets and sign-in alerts
  • School and family mail. Label it, never bin it
